How to Write a Thank You Email?

Gratitude goes a long way in showing how appreciative you are for something done in your favour. It also speaks volumes about your personality. You can never show much gratitude, whether at your workplace, to your family and loved ones, or after an interview, as we will see in this article.  

Many job seekers spend an enormous amount of time trying to get a resume and prepare for an interview. But, a few of them are sensitive to understand the efficacy of a thank you email.

Some people do not know about something called “thank you an email,” while others that know about it do not think it is a big deal after all. But, that extra push of sending a thank you email is what will make the difference.

Showing gratitude by sending a thank you email to your potential recruiter can make a difference between acceptance and rejection.

So, if you have no idea about thank you email and want to learn how to write it, you are in the right place. I am going to show you excellent examples of how it is done in terms of structure, arrangement, and content.

Steps to Write a Thank You Email

  1. Begin with a good subject line, e.g. “thank you for your time.”

  • Thank you for the interview yesterday!
  • Thanks for having me over at ABC company
  • Thank you {interviewer’s name}.
  • Great speaking with you
  • Or, “Thank you.”
  1. Begin the body with a simple personalized greeting. For example, “Hello Sasha” for a not too formal set. But for an official “thank you” email, start with Dear Mr. /Ms., followed by the interviewer’s last name.
  2. The next step is to write the thank you message, telling the recruiter that you are grateful for the time he or she spent with you.
  3. This step is where you have to write strategically to prove that you did not do a copy and paste work. Here, you try to mention something unique about the conversation you both had. This may be something personal that the interviewer talked about. For example, at some point during your interview, the interviewer talked about his love for sports and that Manchester United is his favourite club. If you include this in a section of your thank you email, it creates a warm environment and also shows that you wrote it yourself. This technique is also called Customization.
  4. Remind the interviewer about your interest in the available position and the next steps in the hiring process.
  5. Reiterate that you can be contacted anytime on the available channels you have provided. Make sure you indicate that you are always available via those channels mentioned.
  6. End with a professional closing sentence. You can do this by thanking the recruiter once again, followed by ‘sincerely,’ and lastly, your full name.

When to Send a Thank You Email

Proper timing is essential when sending a thank you email. You can’t afford to send the email when it would no longer be relevant. The best time to send a post-interview thank you. Email is a day (24 hours) after the interview. You will be doing this to ensure that you are still fresh in the interviewer’s mind.

Also, assuming your interview takes place on a Friday. You should send your thank you email that same day if it is the last working day of the company. Or on Monday the following week. Do not send the email over the weekend.

Sample One (Full Stack Web Developer Role)

Subject Line: Thank you, Karen!

Hello Karen,

Thank you for speaking with me yesterday about the position of a full-stack web developer with ABC Company. I am thrilled to learn that your company focuses on the application of the latest web development tools as opposed to old ones.

I was thinking about all the things you said, especially what you did concerning the inclusion of basic knowledge training on HTML5 and CSS3 for other employees within the organization. The desire to ensure that all employees get the knowledge of the latest tech skills is what excites me the most.

I am sure that my four years of experience in this field, and my desire to keep learning in a world where learning never stops qualify me for the role.

During my five-year stay at my previous company, I learned that email communication requires a smart approach because you cannot gauge their reactions at the moment, and you can create miscommunication easily if you are not careful.

This is an aspect I have worked on, and I’d love to bring in new techniques that I have discovered to this company.

Sample Three (General)

Dear Mr. /Ms. (Last name),

Thank you for taking the time to meet with me yesterday. I am happy about the opportunity to work with your company.

The (Job Title) role sounds excellent, and I believe I would excel in this role if I am offered employment because of the (mention relevant experiences and skills that would make you shine).

I think you were right when you said Manchester United would defeat Chelsea, although Chelsea played well, the better team won. (Perhaps the interviewer digressed and talked a little about sports, you can mention it)

Mistakes You Must Avoid

  • You should try not to make the following mistakes.
  • Do not wait too long before you send your thank you email. Do it within 24 hours of the interview.
  • Do not copy and paste. It shows that you are lazy.
  • Do not forget to request your interviewer’s complimentary card to get their full name, phone number, and email. (This saves you time and stress)
  • Do not make the mistake of not sending your thank you email because you met non-official hiring manager.
